Team
You can invite other people to work in your account. Each person keeps their own login. Everything they create inside your account belongs to your account.
Inviting people is included in Pro and Enterprise. There is no limit on how many people you invite. It is not available on the Free, Hobby or Club plans.
If your account moves to a plan without members, the people you invited keep their place on the Team page. Their access is paused: they cannot open your projects until the account is back on Pro. Nothing is removed. You can still remove their access while it is paused.
Invite someone
Before you start, the person needs a Parkdly account. If no account uses their email address, ask them to sign up first.
- Open Settings → Team.
- Choose Invite.
- Enter the person's email address.
- Pick a role.
- Pick what they get access to.
- Choose Send invite.
The access choices go from narrowest to widest. The dialog starts on One project with nothing picked, so you always choose what you hand over.
- One course: that course only. Nothing else in the project or the account.
- One project: that project and every course in it, including courses added later.
- Whole account: every project, now and later, plus your saved themes and sign templates.
We email the person a link. The email and the page where they accept say the same things about the role and the access.
If you pick Whole account, Send invite first asks you to confirm: Share your whole account with …? Choose Share whole account to send the invite, or Back to change your choice. Adding whole-account access to someone already on your Team asks the same question.
The link works once, only for the invited email address, and expires after 7 days. Invites that nobody has accepted yet are listed on the Team page. You can cancel them there.
Invite someone to one course, from the course
You can also invite from inside a course, without going to Settings.
- Open the course.
- Choose Share in the toolbar.
- On the People tab, choose Invite someone to this course.
- Enter their email address.
- Pick a role. Their access is this course only.
- Choose Send invite.
An Admin with access to your whole account can invite from here too. An Admin with access to one project or course sees the list but cannot invite.
The People tab lists everyone who can reach the course. It shows where their access comes from: the whole account, this project or this course. It also lists invites that nobody has accepted yet. The account owner sees Manage on Team here to change a role or remove someone. The Team page shows everyone across your whole account.
When anything is shared, the toolbar button reads Shared instead of Share. Shared items are people, a link, a published caddie book and your public page. The top of the Sharing window sums it up, for example Shared with 2 people · 1 caddie book published. You then know that your changes reach someone else before you make them.
The invite email, the page where the person accepts it and the projects you share all name your account. By default this is your own name. To use a company or club name, set Account name at the top of Settings → Team.
Roles and permissions
You can give the people you invite one of two roles.
| Role | What they can do |
|---|---|
| Editor | Design projects, courses and signs. Cannot delete, move, share or publish. |
| Admin | Everything an Editor can, plus delete, move, share and publish. |
The tables below show each role, area by area. Buttons that a role does not allow are hidden for that person. For example, an Editor does not see Delete course, Move to project or Share. In a caddie book, an Editor sees whether it is published. An Editor does not see the Publish, Unpublish or Delete buttons.
Whole account, one project, one course. The role says what someone may do. The access says where.
- With access to one course, the role applies to that course only. The person cannot add courses to the project, change the project, or touch anything that belongs to the whole account.
- With access to one project, the role also covers the project itself and adding courses to it.
- Creating projects, moving a course to another project, and saving, changing or deleting the account's saved themes and sign templates always need access to the whole account.

Themes, templates and plan features
Inside your courses, the people you invite use your account's saved themes and sign templates and your plan. What they save goes into your library, not theirs.
- Anyone who can edit a course can apply your saved themes and templates to it. They can also change that course's own theme colors and fonts, and upload custom SVGs if your plan includes them.
- Saving, updating or deleting a saved theme or a template changes it for every course that uses it. Only people with access to the whole account can do it. Others can open your templates to look, but not change them.
- If a person you invited deletes their own Parkdly account, the themes they saved in your account stay in your library and on your courses.
- If something needs a higher plan, they see that the account owner can upgrade. Only you can change the plan.
- Anyone with access to a project can preview its public page and caddie books before they are published.
Two people on one course
Only one person edits a course at a time. This way nobody's work overwrites someone else's. The first person to open a course is its editor.
Anyone else who opens the course sees a note under the top bar, for example Holly is editing this course. They can look around and export, but they cannot change anything. The editing panels and tools stay hidden until they are the editor. They are also hidden whenever you cannot edit a course: someone else is editing it, a plan limit applies, or the plan has ended.
To edit anyway, choose Take over editing in that note and confirm. You become the editor. The other person's course turns read-only within about 20 seconds, with a message that says who took over. Anything they had not saved by then is not saved.
When the editor closes the tab or leaves the course, the course is free for the next person within about 30 seconds. Anyone who is waiting on the course is let in on their own. If a tab closes without warning (a laptop shut mid-edit, a lost connection), the course frees itself about a minute later.
The lock is per course. Two people can work on two different courses of the same account at the same time. Your own second tab is never locked out. On the project page, a course that someone else is editing says so in its row. You cannot copy, move or delete it, or publish its caddie books, until they are done.
Seeing what you have shared
You can see who is in your account without opening Team.
- Home shows it under the page title, for example Your account is shared with 3 people · Manage on Team.
- The Account menu in the top bar shows the same line, linked to Team.
- Inside a course, the top bar shows Team · 3 people. Choose it to open Team. Only the account owner sees this for now.
People you invited to one project or one course also show on that project and course. The course card on Home, the course row and the project card read, for example, 2 people, 1 invite pending or 2 people · 1 invite.
- People with access to your whole account are not counted there, because they can reach everything.
- A project's count also includes the people and invites on its courses.
- Choose the count on a course to open its People tab. Choose it on a project to go to Team.
When nobody is in your account and no invite is waiting, none of this shows.
Change or remove access
On Settings → Team, each person is listed once, with all of their access underneath.
- Change a role: pick a new role next to that access.
- Remove one access: use the × next to it. Any other access they have stays.
- Remove from account: use the person's ⋯ menu. This removes all of their access at once and cancels any invite waiting for them.
Removing access takes effect immediately.
Accepting an invite
Invites sent to your email address wait for you at the top of Home and of Settings → Team while they are open. Each one names the account, who invited you, your role and what you will have access to. Choose Accept to join. Choose Decline to turn it down. Declining removes the invite, and the account owner can invite you again later.
You can also open the link in the invite email. You must be logged in with the email address that received it. Choose Accept invite. You land on the project or course you were given.
Working in an account you were invited to
After you accept an invite, the account's projects appear in your studio next to your own. They show on Home, on Projects, and in the Projects menu at the top of the studio (the menu button on a phone).
If you belong to more than one account, you always see whose work you are in:
- Each project or course from another account carries a colored strip across its top that names the account.
- The Projects menu lists your own projects under Your account. It lists each other account's projects under that account's name.
- A project or course you have open shows the account name beside its title.
If you work in only one account, nothing changes. There are no labels and no extra choices.
What you can do in each project follows your role and access there, not your own plan.
- With access to the whole account, you see every project in it. You can edit them like the owner's own designers.
- With access to one project, you see that project and nothing else from the account.
- With access to one course, you see the project it belongs to, with only your course inside it. You can open and work on your course. You cannot change the project's settings or its public page. You cannot use New course or Copy course, because a copy is a new course in the project.
New projects. If you belong to more than one account, the New project form asks which account should own the project. It defaults to your own. If you choose the account you were invited to, the project belongs to that account. So does every course, theme and upload created inside it. They count against that account's plan. You need the Editor or Admin role on the whole account to create projects there. A new course never asks, because it always belongs to its project's account.
Who edited it last. When someone else made the last change to a course's holes, map or signs, the course says so. You see it wherever the course is listed and in its top bar, for example Edited by Holly Hobby · 2 hours ago. Renaming a course or changing its settings does not count as an edit here. Your own edits show only the time.
If your access is removed, the account's projects disappear from your studio the next time it loads.
If the account you were invited to moves to a plan without members, your access is paused. Its projects disappear from your studio until the account is back on Pro. Accounts you belong to on Settings → Team still lists it, marked as paused. You keep your place in the account. You can still leave it while it is paused.
Leaving an account
You can leave an account you were invited to at any time. You cannot leave your own account.
- Open Settings → Team.
- Find the account in Accounts you belong to. The list shows your role and what you can reach there.
- Choose Leave.
- Confirm.
All of your access to that account is removed at once. Its projects and courses disappear from your studio. The owner can invite you again later.
